1. Who we are

Wild Mile Limited ("Wild Mile", "we", "us") is a company registered in England and Wales, company number 15426022. Registered office: Westminster House, 10 Westminster Road, Macclesfield, Cheshire, SK10 1BX. We are the data controller for the personal data described in this notice, and we are registered with the Information Commissioner's Office (ICO), registration number ZC257964.

2. What we collect

When you book or ask about hiring our campervan, we collect:

  • Contact details you give us: name, email address and mobile number.
  • Your booking: the dates you choose, how many people and dogs are travelling, and any extras you add.
  • Payment records: the amount and date of any deposit or balance you pay, and a payment reference from our payment provider, Revolut. Card details are entered into Revolut's secure payment form; we never see or store your card number.
  • Marketing preferences: whether you chose to receive marketing emails, recorded with the date you chose.
  • Technical and attribution data: the device type you used, how you found us (for example, a search engine or an ad campaign), and your IP address at the time you booked or got in touch. This is collected automatically to understand where enquiries come from and to help prevent abuse.

Before your hire we may also need driving licence details for each driver, to check eligibility and arrange insurance. If you contact us directly, we keep a record of that communication.

3. Why we use it, and our legal basis

  • To take and manage your booking and hire: necessary to perform our contract with you, or to take steps at your request before entering into one.
  • To check drivers and arrange insurance: necessary to perform the hire contract and to meet our legal obligations.
  • To keep our service secure and prevent fraud or abuse: our legitimate interest in running a safe service, balanced against your rights.
  • To meet our legal and accounting obligations: for example, keeping records of payments.
  • To send you marketing: only where you've opted in. You can withdraw this at any time (see "Your rights" below); withdrawing doesn't affect messages we need to send you about a booking.

We do not use your data to make decisions about you by automated means alone.

4. Who we share it with

  • Wild Mile staff who need it to manage your booking or enquiry.
  • Revolut, to process your payment. Revolut acts as an independent controller for the payment details you give it directly.
  • Our insurer and, where needed, the DVLA, to check drivers and insure your hire.
  • Breakdown and recovery providers, if you need assistance during your hire.
  • Councils, police or parking operators, where a fine or charge relates to the van during your hire.
  • Service providers who host our systems and send booking emails on our behalf, under contracts that require them to protect your data and use it only as we instruct.
  • A regulator, law enforcement or other third party where we're required to by law.

We do not sell your personal data.

5. Where your data is stored

Our systems are hosted with UK/EU infrastructure providers. We don't currently transfer your personal data outside the UK; if that changes, we'll update this notice and put appropriate safeguards in place.

6. How long we keep it

We keep your booking and payment records for as long as reasonably necessary to deliver your hire, deal with any dispute, complaint or refund, and meet our accounting and tax obligations — normally no longer than 6 years after your last interaction with us, unless we're required to keep it for longer. If you opted out of marketing, we keep a minimal record of that opt-out indefinitely, so we don't accidentally contact you again.

7. Cookies

We currently only use strictly necessary cookies — for example, to keep a Wild Mile staff member signed in. We do not currently use analytics, advertising or tracking cookies. If that changes, we'll ask for your consent first via a cookie banner and update this notice to explain what's used and why.

8. Your rights

Under UK GDPR, you have the right to:

  • ask for a copy of the personal data we hold about you;
  • ask us to correct it if it's wrong or incomplete;
  • ask us to delete it, in certain circumstances;
  • ask us to restrict how we use it, in certain circumstances;
  • object to us using it, including for marketing — this one always applies;
  • ask us to move it to you or another organisation in a portable format, where technically feasible; and
  • withdraw consent at any time, where consent is what we're relying on.

To use any of these, email damien@wild-mile.co.uk. We haven't appointed a dedicated Data Protection Officer, but any query sent there will reach someone responsible for handling it. You also have the right to complain to the Information Commissioner's Office (ico.org.uk) at any time.

9. Children

Wild Mile's services are intended for adults. We don't knowingly collect personal data from anyone under 18.

10. Changes to this notice

We'll update this page if what we collect or how we use it changes, and update the date at the top.
